One delivery

One document, start to finish: print it, change it, get it signed on a phone, and watch the signed copy land on the Xero invoice and in your customer’s inbox.

In the app: Delivery note or packing slip

Print and view

Print opens the PDF in a new tab for your browser's print dialog and marks the document Printed. View PDF opens the same PDF without changing anything.

Changing the document

While the status is Created or Printed you can change the quantities, the Priced setting, the dispatch date, the template, the receiver, the customer email, the addresses and the notes. Click Save changes and the PDF is made again.

From Sent for signature onward the document is read only. What the receiver signed is what stays on record.

Signing

Only delivery notes are signed. A packing slip has no signing section.

Every delivery note has its own signing link from the moment it is created. If the template has a signature block, the link is printed on the note as a QR code. The driver scans it at the door and the receiver signs on the driver's phone. No app and no login are needed.

On the document page, the Signing card shows a sentence about the link with Copy link, Show QR and Reissue link under it: click Copy link, or Show QR to display the code on your screen.

What the receiver sees

Your organisation's name, the docket number, the receiver's name, the delivery address and the dispatched lines. Never prices. They enter their name, sign with a finger, and can add a photo of the goods, a note such as damaged packaging, and their location if they allow it.

What happens next

Opening the link moves the document to Sent for signature. Submitting moves it to Signed. If you have the document open, the page updates by itself within a few seconds.

The signing section then shows who signed, when, where, their notes, the signature and the photo. View PDF and Print open the signed PDF, the note with the signature block filled in. It is stored with a fingerprint that shows it has not been changed since.

Links expire

A signing link stops working 30 days after the document was created, and when the document is signed or voided. If a link has expired or been lost, click Reissue link on the Signing card and confirm. The old link stops working and the PDF is made again with the new QR code.

After signing: Xero and email

Once a delivery note is signed, two things happen by themselves. The Attachment and email section shows how each is going. Click Refresh status to check again.

The Xero invoice

The signed PDF is added to the invoice as an attachment named after the docket number, for example DN-00042-signed.pdf, and set to show on the online invoice your customer sees. The document's status becomes Attached. Nothing else on the invoice is touched.

  • Waiting for an invoice. The note came from a quote, or its invoice no longer exists in Xero. Pick one of the suggested invoices, or search by number or contact, and click Link invoice. The upload then runs.
  • Waiting for the Xero connection. Your organisation is not connected. The upload continues by itself once you reconnect.
  • The invoice already has ten attachments. Xero allows ten. Remove one in Xero, then click Retry.
  • Anything else. The section shows the reason Xero gave and a Retry button.

The email to your customer

The signed PDF is emailed to the customer email on the document. The email comes from a Deliverta address with your organisation's name as the sender, and replies go to your organisation's email in Xero. A copy goes to your organisation's own address.

The section shows whether the email was sent, delivered or bounced. If it bounced, or the address was blank, correct the address and click Resend. You can resend at any time.

Voiding

Click Void and give a reason. A voided document keeps its docket number, drops out of batch printing, and its signing link stops working. If a signed copy is already on the Xero invoice, it stays there. Voiding cannot be undone, and there is no delete.
