Edit a template
Change a setting on the left and the preview on the right updates. The preview uses the same layout as the printed PDF, so what you see is what prints.
Paper size
- A4 and US Letter share one layout. Long documents run over several pages, with the header repeated and "Page 1 of 2" on each.
- 4x6 inch label is a condensed layout: the docket number large, the receiver and delivery address, and each line's description and dispatched quantity. No prices and no signature block. Long lists continue on further labels marked "Label 1 of 2".
Style, colour and font
Style is one of Classic, Compact or Minimal. It sets the layout of A4 and Letter documents. Labels keep their own layout whatever the style.
Accent colour is used sparingly, for the title and rules. Text stays black on white so every note prints well.
Font is one of four. All of them are built into the PDF, so it looks the same on every computer.
Logo
A PNG, JPEG or SVG file up to 2 MB. Save a new template once before adding a logo. Click Remove logo to take it off.
Wording
- Titles. Leave blank for "Delivery note" and "Packing slip", or type your own. If you need a signed document titled "Packing slip", use a delivery note with that title.
- Header text and footer text print on every document.
- Regulatory text is a block for the wording your industry requires.
Columns
Show or hide item code, description, ordered quantity, dispatched quantity, unit price and line total. The two price columns only ever appear on priced documents.
Organisation details
Choose which of your name, address, phone, email and tax number print in the header. The values come from your organisation's settings in Xero and refresh daily.
Custom fields
Up to six label and value pairs printed in the header, for example "Vehicle: ABC-123" or "Batch: 2026-10-A". The value can be changed on each document when you create or edit it.
Signature block
Tick it to print a signature area and the QR code of the signing link on delivery notes. Packing slips never print one, and labels have no room for one, whatever this setting says. A signed delivery note always shows the filled signature block on its signed PDF.
Default template
Tick Default template to make new documents use this one.
Preview and save
Switch the preview between a delivery note and a packing slip, and between priced and unpriced, to see each case. Click Save template when you are done. Documents already made keep their PDFs. See Templates.
